ADMINISTRATOR – LIVE EVENTS & EXPERIENTIAL
BACKGROUND
Hyphen (a brand within the Omnicom Group) specialises in creating amazing brand experiences for clients, through delivery of experiential and live events. The business already has some great clients but we’re in start-up mentality, with an ambitious growth plan and a new leader and we’re now on the lookout for a super organised Administrator to join our small but perfectly formed team.
Working as part of the Hyphen team alongside studying for an events apprenticeship this role is primarily responsible for supporting the wider team with delivery of day to day admin to ensure projects run in a smooth and organised way.
The role is also responsible for some supplier sourcing and management ensuring a relevant and reliable supply base is available for future live event and experiential campaigns.

MAIN RESPONSIBILITIES
Main duties include:
• Support the Account Manager to set-up a project folder and detailed timelines and project plans for projects within your remit.
• Attend team meetings and take and share notes on same day.
• Keep the budget and purchase trackers for assigned projects up to date. Flag any overspend immediately.
• Process all purchase orders and invoices (using Peoplesoft) to agreed SLAs.
• The day to day relationship with our L&D supplier keeping on track of all items stored flagging any issues with the wider team.
• Set up delegate registration, travel, accommodation and create attendee tracker.
• Ensure that all relevant kit and product is distributed, and asset management is completed.
• Event apprenticeship – this role will also include the chance to study for an industry qualification alongside on the job learning. More details can be provided at interview.
• Networking & Market Knowledge – attend and seek out industry/supplier/Omnicom showcases and events and network to establish Hyphen and yourself within the wider industry.
• People person – executing all the above with a smile on your face and a spring in your step.
• Other duties as required which are reasonably within the scope of the role.

KEY SKILLS AND EXPERIENCE
• An event management/marketing qualification would be advantageous but not essential
• Can-do attitude and oodles of passion for live events and experiential marketing.
• Excellent Inter-personal skills.
• Excellent verbal and written communication skills.
• Ability to deal with all levels in a professional manner.
• Working Knowledge of the Microsoft Office Suite systems

Hyphen is a boutique agency and so flexibility and team working is key. The role would be working 9am – 5.30pm. The office will be based in Thame, Oxon.
